Background

This SaaS company is one of the leading software platforms for managed service providers. Its customers, MSPs, use it as the operational backbone of their businesses: billing, project management, ticketing, and team management. But MSPs are sales-driven businesses too, and they were asking for tools to manage their own customers, not just their work for them.

The partner had two choices:

  1. Build the CRM in-house
  2. Buy and embed a third-party CRM that could be white-labeled into their platform

After six months of engineering effort, the answer was clear: building it themselves would take much longer than promised. And even if they finished the CRM, the pattern would repeat for every new module their MSP customers asked for next: communications, social, listings, reputation, and web. Their engineering team would never get back to the core product.

Objectives

From the first conversation, the partner set clear objectives for the partnership:

  • Meet enterprise security, compliance, and contract standards: SOC 2, recent pen-testing, and full data/privacy documentation.
  • Deploy at scale: hundreds of MSP accounts immediately, thousands within two years.
  • Free engineering from non-core feature work by buying a platform that handles infrastructure, updates, and maintenance.
  • Build an extensible foundation: add new product lines to drive upsell into the existing customer base without re-integrating every time.

Execution

1. Choosing a platform that could pass an enterprise procurement process

The partner’s first option was a well-known SMB marketing platform. The product looked promising on the surface, but the moment procurement got involved, the partnership stalled. Contract terms weren’t enterprise-grade. The vendor wouldn’t engage on security audits. There were no real answers on data processing, privacy, or compliance.

That wasn’t optional. The partner’s MSP customers exist in part to handle IT and compliance for their own clients. Any platform powering their CRM had to clear the same bar.

2. Shipping the platform in under nine months — at scale

Vendasta and the partner agreed on an aggressive deployment plan: a 90-day integration phase covering SSO, tech stack integration, and full white-labeling; an initial rollout to 500 MSP accounts; and a 250-account expansion every quarter for two years — with a target of 2,000 accounts by the end of year two.

The platform launched in under nine months, hitting the customer-committed deadline. Today, a year and a half in, the partner has already onboarded 2,000 accounts, which is ahead of schedule.
