An owner opens Business Profile settings, selects People and access, clicks Add, enters the person’s Google Account email, picks Owner or Manager, and sends the invite. The invitee accepts from their own account, and your login stays with you.

This matters to any local business that lets a front-desk employee answer reviews or hands profile work to an outside marketer. Your Business Profile is often the first thing a nearby customer sees, so the people who can edit it have a direct hand in winning more local customers, and the wrong person holding the keys can cost you calls, bookings, and reviews.

It also matters when you need to lock a former vendor out of the listing that feeds your local SEO. The sections below cover the click path on desktop and mobile, what each role can and can’t do, how to remove access the day someone leaves, and how to recover a profile a former employee or vendor still controls.

[et_pb_section global_module="112950 "][/et_pb_section]

TL;DR

Owners invite by email, never by password: Business Profile settings > People and access > Add > choose Owner or Manager > Invite, using each invitee’s own Google Account. Google Business Profile Help lets managers edit info, respond to reviews and manage Business Profile posts, but keeps adding and removing users and removing the profile for owners.

Keep primary ownership inside the business: Agencies and staff get Manager, and the principal holds Primary Owner so ongoing profile management never depends on a departed vendor. New owners and managers wait 7 days before sensitive actions.

Owner vs Manager vs Primary Owner: What Each Role Can Do

Owners and managers share nearly every editing right on a profile; the split is over who controls people and whether the profile exists at all. The table below follows Google’s own capability list from the Google Business Profile Help page on owners and managers.

Action

Primary Owner

Owner

Manager

Edit business info (Google business hours, address, phone, services)

Yes

Yes

Yes

Reply to reviews

Yes

Yes

Yes

Create and publish posts

Yes

Yes

Yes

Add or remove users

Yes

Yes

No

Remove the profile

Yes

Listed for owners, but Google’s removal page limits it to primary owners

No

Transfer primary ownership

Yes

No (see note below)

No

Managers cannot add or remove users, and they cannot remove the profile. Google says managers have mostly the same access as owners, so everyday work such as product or service updates sits in their column too. Google also notes that managers were formerly called site managers, and that older label still turns up in forum threads.

A profile can have multiple owners, but only one primary owner, and only that account can transfer the role. Google’s transfer page also says only owners can change access roles for other owners and managers, including primary ownership, and it notes that co-owners can upgrade themselves to primary owner. Treat any second owner as someone who could take the top role.

Google’s removal page limits removing profile content and managers to primary owners, while the capability table lists profile removal for owners. Either way, keep the power to delete a Google Business Profile away from managers and outside vendors.

What You Need Before You Start

You need owner-level rights and the invitee’s Google Account address before you open the invite screen.

An owner-level login on your side: Google’s Help says only owners can add or remove users, so a manager cannot invite anyone.

A Google Account for the invitee: Google says each user needs their own Google Account to manage a profile without sharing a password. A Google Account can be created on a non-Gmail work address, and that is the address you invite.

No Google Groups: Google doesn’t allow Google Groups as owners or managers, so invite named people.

The right signed-in account: Google’s Help says you must sign in to the Google Account associated with the profile to find it at all.

A claimed listing: If you haven’t claimed the profile yet, start with our guide to verifying a Google Business Profile, then come back to add your team.

How to Add a Manager or Owner to Your Google Business Profile: Step by Step

The path is Business Profile settings > People and access > Add > enter email > choose Owner or Manager > Invite. Google documents that one sequence for every surface; on desktop you reach it from Google Search or Maps, and on mobile the Google Maps app’s Business tab leads to the same settings menu.

The whole process takes a couple of minutes once you’re signed in to the right account. Most delays come from the invitee’s side: an invite sent to an address that isn’t a Google Account, or one that lands in a spam folder nobody checks.

Before you start, decide which role each person needs. Changing a role later takes only a few clicks, but removing an owner who shouldn’t have had that access is harder if they’ve already changed things.

Step 1: Open Your Business Profile Settings

Sign in to the Google Account tied to the profile, then open the profile on whichever surface you’re using. Google’s Help on finding your business lists these routes:

Google Search, desktop or phone: Search your business name and city, or type “my business”, then open the More menu on the profile and select Business Profile settings.

Google Maps app: Tap Business at the bottom right. If you run several businesses, tap the Down arrow at the top and pick the one you need, then open More and Business Profile settings.

Step 2: Open People and Access

Select People and access inside Business Profile settings. It lists every current owner and manager with their role, and any unaccepted invite sits under a PENDING heading.

Step 3: Click Add

Select Add at the top left of the People and access list. If there’s no Add button at all, check whether you have manager-level access; the troubleshooting section below covers that and the other causes.

Step 4: Enter the Person’s Google Account Email

Type the address tied to the person’s Google Account, not a secondary email they only read occasionally. Ask the invitee to accept from that same Google Account so the access lands where they’ll use it.

Step 5: Choose Owner or Manager, Then Invite

Under Access, pick Manager for staff and agencies and Owner only for someone who needs to add or remove users. Select Invite. Google emails the invitee, and you get an email when they accept. From then on, the new user can manage the profile, subject to the 7-day limit on sensitive actions covered below.

What the Invited Person Sees and How They Accept

The invitee gets an email from Google and can manage the profile once they accept. Tell the person to look for a message from Google about your business and to check spam.

Once accepted, the profile appears where their own account’s profiles live: in Google Search by searching the business name and city or “my business” while signed in, and in the Maps app under the Business tab.

Google’s owners and managers Help page doesn’t list an expiry date for pending invitations; an unaccepted invite stays under PENDING until an owner selects Cancel invitation. The 7-day figure people associate with invites is the new-user waiting period, and the 3-day figure belongs to ownership requests. If the invite went to the wrong address, cancel it on People and access, and resend to the right Google Account address.

A Search Engine Roundtable report from June 2026 said owner and manager invite emails were not going out, or not being delivered, for some profiles. The same report noted that some agencies shared access through the Agency Dashboard with a business group code instead. If cancelling and re-inviting doesn’t work, contact Google Business Profile support with the profile details and the address you invited.

Which Role to Give an Employee, a Contractor or an Agency

Give the agency Manager and one internal operations lead a second Owner seat; keep Primary Owner on the principal’s account. That split lets your marketer and staff do the daily work while control of who gets in stays with the business.

Google’s April 2025 Business Profile update backs up the staffing side of this, advising owners to grant access to multiple trusted employees to prevent future lockouts. One owner with no backup is one forgotten password away from a recovery request.

Each role carries a different offboarding risk. The agency section after this list explains how to request Manager access from a client:

Manager: Any owner can remove them from People and access. This is the right role for a front-desk employee who keeps up with Google reviews and for an outside marketer who posts and updates services. A front-desk employee with Manager access can answer a review between appointments instead of waiting for you to log in.

Owner: An owner can add users and remove other owners and managers, so an outside owner who leaves on bad terms can strip access from your staff. Reserve it for a second person inside the local business.

Primary Owner: If a vendor or former employee holds it, you can’t remove them; you have to request ownership and wait for a response. Agencies rarely need this role to do their work.

How an Agency Should Request Access From a Client

Ask the client’s primary owner to invite your agency’s Google Account as a Manager from People and access, and send them the exact address to type. Don’t file an ownership request through business.google.com/add for a client who already manages their listing. That path is for profiles nobody will hand over, and it puts a 3-day clock on the client.

Plan your Google Business Profile optimization work around Manager rights from day one. Managers can edit the description, services, hours and posts, which covers nearly every optimization task an agency handles for a client.

How Many People Can Manage One Profile, and Does It Cost Anything

Profile roles: Google’s Help says a profile can have multiple owners and one primary owner and doesn’t publish a cap on the number of users. The invite screen offers a single choice between Owner and Manager, so plan on one role per account. Changing someone’s role means selecting the user, clicking Edit next to Access, choosing the new role, and saving.

Google Workspace: Google Workspace accounts can be invited, but a Workspace admin controls which additional Google services users can reach. Google Workspace Help lists Google Business Profile Manager among those services, so if a Workspace user can’t open the profile, check that admin setting first.

Business Profile itself is free. Google’s Business Profile page states that creating a profile and listing your business on Google is free, and the owners and managers Help page lists no fee for adding or removing users.

What costs money is the labor. If you pay an agency or freelancer to run the profile, you’re paying for their time, not for access, and you should still keep owner access yourself. The same applies to any vendor handling your business listings.

Adding Managers Across Multiple Locations or a Business Group

A business group lets you add one person once and give them every profile in the group, including profiles you add later. Google’s business groups Help page describes a group as a shared folder for profiles: once you have two or more profiles, select Create group at the top right, enter a group name, and select Create.

Group roles mirror profile roles, as Google’s Help on business group owners and managers lays out:

Group owner: Adds and removes group owners and managers, deletes the group, transfers group ownership, and adds, edits, and deletes profiles in the group.

Group manager: Adds, edits, and deletes profiles in the group and can transfer profiles to a different business group, but cannot add or remove users.

Primary group owner: Can’t leave the group until they transfer ownership to another user. Role changes live under Group settings > Manage users.

A manager or owner added at the group level reaches all current and future profiles in it. You can still invite someone to a single profile inside the group without making them a group user, which suits a location manager who should only touch their own store.

For franchises and chains, Google supports bulk verification when a spreadsheet holds 10 or more profiles of the same business, which saves verifying each location one at a time.

If you run multiple locations under one brand, set up the group before you invite anyone so each person gets one invitation.

Why New Owners and Managers Are Limited for 7 Days

A newly added owner or manager must wait 7 days before Google lets them take the most damaging actions, and an attempt during that week returns an error. Google’s Help lists three blocked actions: deleting or undeleting the profile, removing other owners or managers, and transferring primary ownership, including making themselves or someone else primary owner. Editing hours, replying to reviews, and adding users aren’t on that list.

The same window applies to planned hand-offs. Google’s transfer page says the waiting period covers making someone primary owner, so add the new account at least a week before the transfer date. And a new owner or manager who deletes their Google Account within the first 7 days is removed from the profile and has to be added back.

Google doesn’t publish the exact error text, so plan around the three blocked actions above. The restriction is a deliberate safeguard, not an outage.

How to Remove a Manager, Revoke Access or Remove Yourself

Remove a departing employee the same day they leave: People and access > select their name > Remove person. Only owners can remove other owners or managers, and if you can’t select the person, you’re working with manager-level access.

Revoking agency access uses the identical path. If the agency’s invite is still unaccepted, find it under PENDING and select Cancel invitation instead. Review the user list on a regular schedule so former staff and past vendors never linger with access.

To remove yourself, follow People and access > select your own name > Stop managing > Confirm. A primary owner can’t remove themselves until they transfer primary ownership to another owner or manager, which the next section covers.

Deleting the whole profile is a separate, permanent action: Business Profile settings > Remove Business Profile > Remove profile content and managers. Google’s removal Help page says it permanently removes posts, photos, videos, and review replies by owners and managers, keeps customer reviews, and requires re-verification before anyone can manage the business again.

That includes every image you’ve built up, so export any Google Business Profile photos you want to keep first. Removal also doesn’t guarantee the business stops appearing on Maps and Search.

How to Transfer Primary Ownership

Transferring primary ownership is a deliberate hand-off that only the current primary owner can make, and Google’s Help doesn’t describe a way to undo it.

The transfer page of Google Business Profile Help gives the steps: Business Profile settings > People and access > select the user > Edit next to Access > Primary owner > Save.

Recipient eligibility: The recipient must already be an owner or manager on the profile, so add them first; the profile needs at least one other owner or manager to transfer to. Google Groups can’t hold the role.

Waiting period: The 7-day wait applies before a new user can be made primary owner, so build that week into any planned hand-off.

Transfer primary ownership rather than only adding someone as an owner; Google’s Help says a transfer keeps all of your business info, such as reviews. Confirm the recipient’s identity and intentions before you save.

For a temporary owner handing a profile back, the rules above set the order: add the business’s account, wait 7 days, transfer primary ownership, then the temporary account removes itself with Stop managing.

Troubleshooting: Missing Invite Button, Pending Invites and Profiles Someone Else Owns

Most access problems come down to one of two things: the role on your own account, or who holds primary ownership. If you can open People and access but can’t invite anyone, the fix is usually on your side and takes minutes.

If someone outside the business controls the profile, the fix is a formal ownership request that runs on Google’s timeline. Start with the checks below before you file anything, because an ownership request on a profile you can already reach only adds delay.

Fix the Access Problem on Your Side

Check your role and the profile’s status first. For a stuck invite, also check the address you typed:

No Add button: Only owners can add users; if you have manager-level access, ask an existing owner to send the invite or upgrade your role.

Account restricted or suspended: A restricted profile limits what any owner or manager can do, so add a backup owner while your account is in good standing. Google’s Help on appeals says an appeal can be submitted only once and that decisions can take up to 5 business days.

Invite stuck on PENDING: The recipient should check spam and accept from the same Google Account the invite went to. Cancel and resend if the address was wrong.

If a restriction is the cause, our guide to Google Business Profile suspensions walks through common reasons and reinstatement.

Recover a Profile Someone Else Controls

When a former employee or an outside provider, such as an agency or vendor, holds primary ownership, request it through Google’s request-ownership Help page: go to business.google.com/add, enter the business name and address, select Request Access, fill out the form, and select Submit. Google emails the current owner, who has 3 days to respond.

Owner responds: If approved, you get an approval email and can manage the profile. If denied, you can still suggest an edit to the profile and appeal the decision.

No response after 3 days: Open your confirmation email, select View request, then Verify. Google notes the option to claim a profile isn’t always available, so keep that confirmation email until the case closes.

Service-area businesses without a storefront: contact Google Business Profile support and choose “Transfer ownership of listing” instead.

For any support case, have the business name, address, screenshots, the Business Profile ID, and proof of association such as a business registration or signage photos ready. Your Google CID number is another identifier worth including.

If the contested listing duplicates one you already own, merging two Google Business listings is the follow-up once you control both.

Keep Primary Ownership When You Add a Manager to Google Business Profile

Keep the Primary Owner role on the principal’s account and hand Manager seats to staff and agencies. Open People and access the day anyone leaves. These habits cover the front-desk employee who answers reviews and the marketer who posts and updates services.

If a vendor holds primary ownership, you may need to request ownership to recover control. The current owner has 3 days to respond, and recovery isn’t automatic if they don’t answer.

Once access is sorted, the daily work on the profile is still review replies and posts, and that work usually lands on whoever has the least time. Can a manager add another manager to a Google Business Profile?

No. Google Business Profile Help states that only owners can add or remove users, and managers can’t add or remove users or remove the profile. A manager who needs a colleague added should ask an owner to send the invite from People and access, or ask that owner to upgrade the manager’s role to Owner.

2. Does the invited person need a Gmail address to accept?

They need a Google Account, which can be created on a non-Gmail work address. Google’s Help says each user needs their own Google Account, and Google Groups can’t be invited as owners or managers.

3. How long does an invitation stay pending?

Google’s owners and managers Help page doesn’t list an expiry date; a pending invite stays under the PENDING heading on People and access until an owner selects Cancel invitation. The 7-day period people often confuse with invite validity is the waiting period for new owners and managers, and the 3-day window applies to ownership requests, not invitations.

4. Why can’t a new owner delete the profile or remove other users?

Google applies a 7-day waiting period to every new owner or manager. During that week, deleting or undeleting the profile, removing other owners or managers, and transferring primary ownership return an error. Google’s blocked list doesn’t include editing business info, replying to reviews, posting or adding users.

5. How do I get my profile back from a former employee who is primary owner?

Request ownership at business.google.com/add by entering your business name and address and submitting the Request Access form. Google emails the current owner, who has 3 days to respond.
